The meeting was called to order at 7:06 pm by the POA president Laura McKee. Other board members present were Lesha Betts, Nicole Coughlin, Beverly Maloy, Mike Kleiss, and Chuck Styers.

Minutes: from the May 6, 2019 meeting were approved as read by the secretary Beverly Maloy.

Treasurer’s report: was approved as read by the treasurer Nicole Coughlin. There has been no word back yet from the CPA regarding POA taxes. Nicole stated she would place a follow up call on the matter tomorrow, June 4. Laura requested a report on the number of and amounts of all unpaid POA dues to this point.

ACC report:Vicky Rainwater reported all outstanding paperwork on Lot #151 has now been submitted. There is still needed paperwork for Lots #165 and #185. Vicky has asked that nominations for someone to fill the open spot on the ACC be added to the letter being sent to the community requesting nominations for the 3 upcoming open positions needing to be filled on the POA board of directors. Coral Bucy has volunteered to help the ACC until a new member is appointed whenever she is available. 

Old Business: Violations letters have again been sent out. A family member has reportedly been asked to clean the lot on Apache Moon. The letter to Maxham has been returned as undeliverable. Laura McKee stated she ill hand deliver the letter and obtain updated address information.                                                                The trash build-up at the end of the cul-de-sac on Indian Hills Dr has continued to grow. Nicole Coughlin and Vicky Rainwater will again notify the Environmental Control Office.                                                                                                                       Chuck Styers stated he will continue to look for violations when he is out in the community.

New Business: Beverly Maloy will draft the letter to the community regarding the open positions for the POA and ACC. The draft will then be sent to Lesha Betts for approval and then on to Nicole Coughlin to be mailed out within the next 15 days. Vicky Rainwater reported the need for a list of phone numbers of community members who would be willing to serve as contacts during emergencies. The issue will be placed on the agenda for the general POA meeting on September 16.

Minutes from the May 6, 2019 IHE POA Meeting

   Spring Branch Indian Hills Estates Property Owners’ Association

Hello everyone!

 In the next couple of weeks, all current property owners in our community will receive an important letter regarding the needed participation from our active members. The September 15, 2019 general meeting of the property owners’ association will address many pressing topics affecting our Indian Hills Estates community. An important topic to be addressed at that time is the need for our community members to voice their preferences for filling the 3 vacant positions on the POA board and one needed additional position on the Architectural Control Committee becoming available in September when those currently serving will have fulfilled their terms of office. If you or someone you know are interested in running for these positions, please complete this nomination form and mail it back or drop it off at the POA drop box on Hiawatha by the due date in the letter. All nominees will be contacted prior to being placed on the ballot to make sure they are interested in serving. Another letter will then follow stating who the nominees are for the POA board as well as the ACC. The voting ballots will be counted, and the results will be announced at the September 15, 2019 annual general meeting at 2pm held at the water supply pavilion meeting hall.

This is the opportunity for each property owner to have a say in how our community is cared for. We cannot make a difference unless the owners are willing to step up and be willing to devote the time and effort required. The POA meetings are held on the first Monday of every month at 7:00pm and last approximately one hour. We currently have 6 active POA members on the board and have met the requirements for a quorum everymonth since the current board was put in place. The ACC needs to have one more active member to allow for the needs of our growing community.

Minutes from the April 1, 2019 IHE POA Meeting

The meeting was called to order at 7:08pm by POA Board president Laura McKee. Other board members present were Lesha Betts, Nicole Coughlin, Beverly Maloy, Mike Kleiss, and Chuck Styers.

Minutes: from the March POA meeting were approved as read by the secretary Beverly Maloy.

Treasurer’s report: was approved as read by treasurer Nicole Coughlin.

ACC report: Vicky Rainwater is checking on follow-up results for letters sent by ACC board. Vicky will follow up on the gazebo on Indian Hills Dr. There have been complaints voiced concerning violations on Lot 2 involving the Tire Shop. The property owner will be notified.

Old business: The updates on the IHE covenants have been completed. President Laura McKee will present them to the POA attorney Tom Newton for review prior to the mail-out to the community for vote to approve.                                               The POA board voted not to schedule another community clean-up day in the Fall due to lack of community response to the recent one the weekend of March 30-31, 2019. The disappointing participation by the community was deemed too unproductive to justify the expense for renting the dumpster.

New business: The POA board and ACC board will draft a letter notifying the property owner of a vacant lot on Apache Moon that she will be allowed 30 days to clean the property. She has ignored numerous violation letters and personal requests from neighboring properties. If no effort is made by the property owner to comply, the IHE POA board will hire someone to clean the lot and the property owner will be billed. If the owner refuses to compensate the POA for the expense involved in cleaning of the property a lien will then be placed on the property by the POA. The notice will be sent to the property owner by registered mail and a copy will be filed with Comal County.

The next meeting of the IHE POA will be May 6, 2019 at 7:00 pm. The meeting was adjourned by POA president Laura McKee at 7:50pm.

The meeting was called to order by the POA president Laura McKee at 7:03 pm. Other POA board members present were Lesha Betts, Nicole Coughlin, Chuck Styers, and Beverly Maloy.

Minutes: from the February meeting were approved as submitted by POA secretary Beverly Maloy.

Treasurer’s report: was approved as submitted by POA treasurer Nicole Coughlin.

ACC report:Vicky Rainwater reported no new items for ACC.

Old business: The existing covenants were reviewed by all present with in-put for revisions before submission to the POA attorney before the next IHE POA vote.       

The community clean-up weekend is scheduled for Saturday March 30, 2019 from 8:00am-4:00pm and Sunday March 31 from 1:00pm- 4:00pm or until the dumpster is filled.

New business: Board members were encouraged to be checking the IHE POA gmail account.

There have been numerous complaints of loud music especially at night in our community. A letter will be drafted and sent to offending parties.

The next meeting of the IHE POA will be held Monday April 1, 2019 at 7:00pm.

The meeting was called to order at 7:06pm by the POA president Laura McKee. Other POA board members present were Lesha Betts, Nicole Coughlin, Beverly Maloy, Mike Kleiss, and Chuck Styers.

Minutes: from the January 7, 2019 POA meeting were approved as read by the secretary Beverly Maloy.

Treasurer’s report: was approved as read by the treasurer Nicole Coughlin. Dues letters were sent out on Saturday morning, February 2, 2019. 3 property owners have moved out and one has refinanced resulting in payment of back dues. The CPA information has been sent.

ACC report:There are no pending new requests. The house on the Devin Breland property is gone. The approval letter for the proposed new garage has been sent.

Old business: The covenants must be updated to meet state requirements this year. Vicky Rainwater, Laura McKee, Beverly Maloy, and possibly Lesha Betts and Nicole Coughlin will try to set up a day to review the existing covenants for points that need clarification/updating. The updates will be presented to community POA members for a vote.                                                                                                  The 2019 IHE community clean-up days have been rescheduled for Saturday March 30, 8:00am-4:00pm and Sunday March 31 from 1:00pm-4:00pm if the dumpster has not been filled on Saturday.  Laura McKee will notify the dumpster company. Lesha Betts has been in contact with County Commissioner Jen Crownover regarding speeding on Apache Moon and Broken Arrow.                                                                                                         

New business: The annual meeting of the IHE water company will be held on Saturday 2/09/19 at 2:00pm here in the pavilion.                                                 Several community members have suggested to Lesha Betts that the community hold a community wide garage sale. Individual property owners will be responsible for set up and clean up on their own properties. Lesha will contact Mary Abel to post the suggestion on Next Door Indian Hills.                                  

Vicky Rainwater will attend the City of Spring Branch meeting tomorrow to ask about status regarding clean-up of the junkyard on Hwy 281 at the entrance to the community. The DOT was noted cleaning up there today.                                                                                          

The next meeting of the IHE POA will be at 7:00pm on March 4, 2019.

Minutes from the January 7, 2019 IHE POA Meeting

The meeting was called to order by the POA president Laura McKee at 7:05pm. Other POA board members present were Lesha Betts, Nicole Coughlin, Mike Kleiss, and Beverly Maloy.

Minutes: from the December 3, 2018 POA meeting were approved as read by the secretary Beverly Maloy.

Treasurer’s report: was approved as read by the treasurer Nicole Coughlin.

ACC report:was given by Vicky Rainwater. A decision was made to send a “request for status letter” rather than a violation letter regarding property on Apache Moon at this time. A mobile home has been moved in on Broken Arrow. Plans have been submitted for construction of a new garage.

Old business: The installation of the new sign on Indian Hills Dr. and Hiawatha has been completed. Winners of the Christmas Lighting Contest were announced.

New business: Copies of the IHE Covenants were distributed to all present. They will be reviewed and discussed at the February POA meeting.

The next meeting of the IHE POA will be February 4, 2019 at 7:00pm.

ACC report: was given by Vicky Rainwater. New PIP for Broken Arrow has been received. Vicky will set up a meeting with the property owner for this coming weekend. Vicky will check with Comal County to confirm the proposed PIP can be placed over leach lines. If ok with the county, the IHE POA and ACC will require a letter from the property owner stating that he is aware that the proposed site is over the leach lines.

Old business: The new sign has not been placed yet on Indian Hills Dr/Hiawatha at the entrance to the community. There were problems with the weather and in digging the holes for the new sign. The site for the sign is apparently over solid rock and will require a jack hammer. Laura McKee may check with PEC to see if they can assist with digging the holes if a jack hammer cannot be obtained elsewhere. The new sign will be printed on both sides and will be clearly visible from both Indian Hills Dr and Hiawatha.                                                                          The Christmas lighting contest will be judged on Saturday December 15, 2018. Nicole will ask if someone from the Bulverde/Spring Branch Fire Dept could be available for the judging. Otherwise, volunteer judges from the POA board and ACC will meet at Nicole Coughlin’s home at 5:45pm that night to tour the community to begin the judging of the Christmas lights.

The dumpster for the community clean-up day has been put on hold until March 2019. There was no cancellation fee after all. The clean-up day will be tentatively rescheduled for the weekend of March 30 and 31, 2019.

New business:No new business to be discussed. The next POA meeting will be January 7, 2019 at 7:00 pm. The meeting was adjourned by Laura McKee at 7:30pm.

Minutes from the November 5, 2018 IHE POA Meeting

The meeting was called to order at 7:05pm by the POA president Laura McKee. The other POA board members in attendance were Lesha Betts, Nicole Coughlin, Beverly Maloy, Mike Kleiss, and Chuck Styers.

Minutes: from the October 1, 2018 POA meeting were approved as read by the secretary Beverly Maloy.

Old business:The new sign at the front of the community on Indian Hills Dr. and Hiawatha has not been installed yet due to not having the new metal poles. Larry from the IHEWSC was consulted regarding the water lines in the vicinity of the new sign. He reported that the new sign will not interfere with any water lines. The letter for payment plans has been submitted and approved.                                    

The community clean-up day scheduled for October 20 and 21, 2018 was cancelled due to inclement weather. The contract for the dumpster will be cancelled and the $75.00 cancellation fee will apply. The Community Clean-up day will be tentatively scheduled for March 30 and 31, 2019.                                                  

The Covenants will be reviewed and tabled until after the beginning of 2019. 

New business: The Christmas Lighting Contest awards will be determined on Saturday December 15, 2018. Nicole Coughlin will spruce up the contest award signs.

The next meeting will be December 3, 2018 at 7:00pm.

Minutes from the October 1, 2018 IHE POA Meeting

The meeting was called to order by the POA president Laura McKee. The other POA board members in attendance were Lesha Betts, Nicole Coughlin, Beverly Maloy, and Chuck Styers.

Minutes: from the October POA meeting were corrected to read that the dumpster for the IHE cleanup day will be available Saturday October 20 from 8:00am-4:00pm, and only available on Sunday October 21 from 1:00pm-4:00pm if it has not been filled on Saturday.

Treasurer’s report: was approved as read by thetreasurer Nicole Coughlin.

ACC report: was given by Vicky Rainwater. The updated commercial property guidelines will require a 51% approval of eligible IHE POA members. The approved guidelines will then need to be filed with Comal county.

Old business: The new IHE sign will be ready during the first week of October. Chuck Styers has volunteered to pick the sign up and will help Jerry McKee install it. Larry from the IHEWSC will be consulted prior to installation concerning location of any water lines that could possibly be affected.

The cleanup day is still scheduled for the weekend of October 20 and 21, weather permitting. POA board members will be present at all times that the dumpster will be available to community members.

New Business: Laura McKee, Lesha Betts, Nicole Coughlin, and Beverly Maloy will meet with the new POA attorney, Tom Newton, regarding updating our covenants and by-laws as state mandated.

The meeting was called to order at 2:06 pm by the POA president Laura McKee. Other POA board members present were Lesha Betts, Nicole Coughlin, Beverly Maloy, Mike Kleiss, and Chuck Styers.

Minutes: The synopsis from the previous year were approved as read by the secretary Beverly Maloy.

Treasurer’s report: was approved as read by the treasurer Nicole Coughlin.

ACC report: was given byVicky Rainwater.

Old business: There is a need for additional new street lights and a new IHE community sign. Possible sites being considered for the new Indian Hills Estates sign are on Broken Arrow or Silver Wings.                                                                        Everyone is reminded to slow down while driving in the community during the times children are waiting for the school bus or when they are being dropped back off.

New business: The IHE Community Clean-up days will be the weekend of October 21-22. The dumpster will be available Saturday from 8am-4pm, and Sunday from 1pm-4pm. A list of allowable items to be placed in the dumpster will be posted. On those days Chuck Styers has volunteered his truck with trailer for trash placed near the street by property owners who have no means to transport them to the dumpster.                                                                                                                                The results of the ballots to vote the increase of dues to $48.00/yr per property owner and amendments to by-laws regarding travel trailers and RV’s failed to pass. There were 53 ballots cast which were not the required 51% of eligible voters.                                                                                                                                        The next meeting of the POA will be October 1, 2018 at 7:00pm.
